In the fast-paced environment of a growing startup, managing external collaborators often involves fragmented communication across emails, manual payment tracking via Razorpay, and legal documentation on third-party sites like Spotdraft. Vidhi (meaning "Process") was engineered to consolidate these discrete fragments into a single, transparent source of truth.
Key Features:
- Centralized Onboarding: Independent modules to onboard Vendors and Creators separately, allowing for flexible pairings in marketing proposals.
- Multi-Level Financial Approval: A rigorous workflow where proposals move from reviewers to the Marketing Head, with an automated escalation to the CEO/ for high-value transactions (> 5 Lakhs).
- Integrated Communication: In-platform chat and commenting systems for real-time feedback during the approval or rejection phase.
- Legal Automation: Once a proposal is approved, it automatically transitions into a formal contract/agreement through Spotdraft integration.
Development Deep Dive
1. The Dashboard Experience
The landing page was designed for "at-a-glance" management, featuring high-level metrics on creator performance, workflow status, and real-time data insights to facilitate faster decision-making.

2. Managing the Ecosystem
Before a proposal can be initiated, the platform requires the onboarding of Vendors and Creators. This ensures all tax information, social media handles, and contact details are verified and stored securely.
- Creator Directory: A searchable database of influencers including their niche (e.g., sports, entertainment) and direct links to their social profiles.
- Vendor Records: Detailed tracking of agencies that act as intermediaries for multiple creators.

3. The Proposal & Approval Workflow
The heart of Vidhi is the Proposal module. Each entry tracks the Cost Per Acquisition (CAC), Payback periods, and previous collaboration history.
- Status Tracking: Proposals are clearly labeled (e.g., "Changes Requested", "Approved") to prevent bottlenecks.
- Collaborative Review: Creators of a proposal can receive specific comments for modifications directly on the detail page, replacing long email threads.

4. Automated Contracting
By integrating with Spotdraft, Vidhi handles the execution of Influencer Marketing Agreements. Once the final approval is granted, the system tracks the contract status from "Draft" to "Sign" and "Executed."

5. Security & Granular Permissions
Given the sensitive financial and personal data, I implemented a robust Access Control Dashboard. This allows administrators to manage user authorization on a granular level—defining who can "Read," "Write," or "Approve" across different modules like Payments, Vendors, or Permissions.
- User Management: Global view of all employees with access to the system.
- Permission Toggles: A UI-driven approach to enabling or disabling specific functional access (Add, List, Form Read/Write) for every user.

This project significantly reduced the turnaround time for vendor payments and ensured 100% visibility for the leadership team regarding capital outflow.
